Running Your Salon When You're Not There: Phone Control

It's Saturday afternoon and you're at the wholesaler. Your phone rings: one of your regulars wants to know if there's a slot for colour tomorrow at three. The appointment book is sitting on the front desk, your receptionist is busy with a client, and you have no idea which chair is free. “Let me call you back,” you say. By the time you do, that evening, she has already booked somewhere else.

For many salon owners, the business is only truly under control while they are physically standing in it. Get ill, spend the day at your second location or take a few days off, and the questions pile up on your phone while the till stays a mystery until you get back. With a simple routine of about ten minutes a day and a clear division of work with your team, you can keep appointments, cash and treatment packages under control from wherever you are.

The hidden cost of being tied to the front desk

What you lose while you're away rarely gets written down, so it tends to look small. Let's put a rough number on it. Say you can't reply straight away to five calls or messages a week, and half of those people book elsewhere rather than wait. With an average ticket of €60, that's about €150 a week, or roughly €600 a month, quietly walking out the door.

There is a second cost too: not knowing what is going on. When the till comes up short at the end of the day, reconstructing the next morning which payment wasn't recorded, which package session was used or who paid a deposit takes time and strains things with your staff.

Five things worth checking remotely

Managing your salon from your phone doesn't mean jumping on every detail as it happens. The goal is to keep a finger on the pulse of the business through a handful of screens. When you're away, these are the things to look at regularly:

  1. Today's and this week's calendar: which stylists are booked, which chairs or rooms are empty, and where the dead hours are in the afternoon.
  2. Appointments with deposits: for bigger bookings such as bridal hair or long colour services, whether the deposit has been taken and linked to the appointment.
  3. Today's payments: what has gone into the till and the bank accounts as cash, card or transfer.
  4. Expenses and supplier payments: what was spent during the day and which supplier balances are coming due.
  5. Treatment packages: sessions used, planned and remaining today, and how no-shows were marked.

Five minutes in the morning: the day at a glance

Before the day starts, open the calendar in day view. Look for double bookings, long gaps or an appointment with the wrong service duration. If you spot empty slots early, you can ask your team to ring clients who have been waiting for an earlier appointment.

Five minutes in the evening: the till at a glance

Before closing, run through the day's sales and payments and the cash and bank balances. If the count at the desk matches the system, the day is closed. If it doesn't, you talk about the difference that same evening, while everyone still remembers what happened.

Booking from your phone, quickly and without clashes

The moment you will use remote access most is when a client contacts you directly. With a paper diary back at the salon, that question is impossible to answer. With a cloud-based calendar, it takes a few seconds.

Because sysSalon runs in the browser, logging in on your phone shows you exactly the same screen your team sees at the desk, with nothing to install. The drag-and-drop calendar prevents clashes by staff member and by room or chair, and suggests available times based on the location's opening hours. You can open the client card, check their recent visits, notes and account balance, and then book. The question “which colour did we use last time?” no longer has to wait until you're back.

Combined services work the same way: add a cut and a blow-dry to a single appointment and assign a different stylist, room and discount to each service line. If needed, attach the deposit to the booking, and your team sees it on their screen immediately.

Tip: when you book a client remotely, put the deposit and any special request (for example “patch test required”) in the appointment note. Your team at the salon will know exactly what to do without having to call you.

Trust your team, but keep the overview

Remote management only works if one simple rule is followed: everything goes into the system. Every payment scribbled on a notepad or left for “later” leaves a hole in the picture you see on your phone. Agree a few clear rules with your team:

  • Bookings, cancellations and changes are made in the calendar only, never in a notebook or a chat message.
  • Every sale and payment is entered into the right till or bank account as soon as the service is finished.
  • Small daily expenses such as tea, cleaning supplies or postage are recorded as expenses on the same day.
  • When a package session is used, it is deducted straight away; for no-shows, it is marked “Forfeited” or “No-show (refunded)” according to your salon policy.
  • Products used during a service are deducted from stock, so colour and care product usage can be followed remotely too.

In sysSalon, admin and user accounts are separate: your staff work under their own logins, and as the admin you see every record. More detailed role-based permissions and activity logs are coming soon. Until then, the best control you have is applying the rules above consistently and doing that five-minute till check every evening.

More than one location: the full picture from one account

Owners who open a second salon often find that whichever site they're at, the other one goes dark. Being at one in the morning and the other in the afternoon means hearing about each till from a different notebook and a different person.

With multi-location management from a single account, you switch between sites on your phone and see each one's calendar, cash position and staff schedule. Because opening hours are set per location, booking suggestions follow each salon's own rhythm. Comparing which site has empty hours makes it much easier to decide when to move a stylist to the busier one.

Let the system run the salon, not your presence

Every hour you spend away from the salon doesn't have to be an hour the business stands still. Keeping bookings in a cloud calendar, recording every payment the moment it happens and doing two five-minute checks a day buys you time and a day off without the nagging worry. Every message you answer on the spot is a client who doesn't end up at the salon down the road.

You can try sysSalon on your phone right now: start with the free plan, with no credit card, no time limit and unlimited client records. Explore everything on the features page, or request a demo tailored to your salon.
