Tuesday, 10 a.m. The chair is ready, the colour is mixed, your stylist is waiting, and the client never arrives. No answer on the phone, no reply to your message. You remember turning away two people yesterday who wanted exactly that slot. A no-show is the quietest loss a salon suffers, and one of the most expensive.
Late September is the right moment to deal with it. Bookings pick up again after the summer, autumn treatments and colour refreshes begin, and clients start buying course packages ahead of the holidays. The steps below will help you put a number on what no-shows cost you, set up a deposit policy clients accept as fair, and fill freed-up slots quickly.
Work out what a no-show really costs
Most owners shrug no-shows off as an annoyance, because the loss never shows up in the till. A quick calculation changes that. Say your salon has 4 unannounced no-shows a week and the average service is worth €60:
- Weekly loss: 4 × €60 = €240
- Monthly loss (4 weeks): roughly €960
- Yearly loss: roughly €11,500
That figure doesn't include your team's idle time, products prepared and wasted, or the client you turned away, who may well book with a competitor next time.
To find your own number, look back over the last three months. How many appointments ended as no-shows, and on which days and services do they cluster? If your bookings live in a paper diary or scattered messages, that question is almost impossible to answer. In sysSalon every client's visit history sits on their client card, so patterns stand out quickly, such as the same handful of people who book Friday evenings and never show.
Set a clear, fair deposit policy
A deposit isn't a punishment. It's a reminder that an appointment is a commitment on both sides. Clients who have paid something up front take the booking seriously and let you know if their plans change. When you design your policy, answer four questions:
- Which services need a deposit? Start with long, product-heavy treatments: colour, keratin, bridal hair, laser sessions. Asking for a deposit on a twenty-minute beard trim is more likely to lose you the client.
- How much? Around 20–30% of the service price is usually a balanced range. For a €200 colour service, a €50 deposit signals commitment without scaring anyone off.
- What's the cancellation window? Set a plain rule, for example: "Cancel at least 24 hours ahead and your deposit is refunded or moved to your next booking."
- Who gets an exception? You don't have to ask loyal regulars who have never let you down. Decide up front whether the rule applies to everyone or depends on client status.
Tip: Don't just mention your deposit policy over the phone. Put the same sentence in your confirmation message, at reception and on your social media profile. Consistency takes the heat out of objections.
In practice, the most common problem is losing track of which deposit belongs to which appointment. Cash taken, noted in a book but never matched to a booking, turns into a till discrepancy at the end of the month. In sysSalon you link the deposit directly to the appointment when you take it, so it's accounted for when the client pays, and if they don't turn up you know exactly what you're holding.
Package sessions: forfeited or excused?
With laser hair removal, facial courses or body-contouring packages, a no-show raises a trickier question: does the missed session come off the package? Both approaches are defensible. What matters is choosing one in advance and telling the client clearly at the point of sale.
- Strict policy: an unannounced no-show counts as a used session. This suits busy salons with a waiting list.
- Flexible policy: the first miss is forgiven and the session returned; after that, it's deducted. A friendlier option for salons still building their client base.
When you sell a package in sysSalon, each session is tracked as used, scheduled or remaining. If a client doesn't turn up, you mark the session according to your policy: "Forfeited" (deducted from the package) or "No-show" (returned to the client). Months later, when someone insists they only used eight sessions, not ten, you have a dated record to point to.
Remind clients and refill the gaps
Many no-shows come down to forgetfulness rather than bad faith, which is why a short reminder the day before can work even better than a deposit. Automatic appointment reminders are coming to sysSalon soon; until then, a simple end-of-day routine does the job:
- Before closing, open tomorrow's calendar in day view.
- Flag bookings without a deposit and first-time clients, and call or message those first.
- Add a note to the client card for anyone you couldn't confirm.
- When a cancellation comes in, free the slot right away and let waiting clients know.
Refilling a slot fast depends on a calendar you can trust. sysSalon's drag-and-drop calendar prevents clashes by staff member and by room, so the client who takes a cancelled 2 p.m. slot won't end up double-booked against another treatment. The room view shows at a glance whether a chair or treatment room is genuinely free.
Talking to repeat no-shows
The conversation with a client who has missed three appointments is never easy. Be clear without sounding accusatory: "We missed you at your last two appointments, and those were slots we could have offered to other guests. From now on we'll need a deposit when you book." Most clients respect that kind of honesty. The ones who don't are usually the clients costing you the most.
Don't leave these decisions to your team's memory. With notes and status on the client card, whoever takes the booking can see that this client pays a deposit. Marking reliable regulars as VIP so they get more flexibility keeps the whole team consistent, even when the person on reception changes.
Don't accept empty chairs: start today
You'll never eliminate no-shows completely, but you can manage them. Put a number on the loss, set a sensible deposit policy by service, agree package rules at the point of sale, make reminders a daily habit and move your records out of scattered notebooks into one system. Saving just two appointments a week adds up to a real difference by the end of the year.
