Anyone who has run a salon through the last two weeks of December knows the scene: the phone never stops, three clients all insist on the same Saturday 2 pm slot, your most experienced colourist asks for that exact week off, the lightener runs out, and at closing time you are trying to remember who paid what. The most profitable weeks of the year, caught without a plan, become the most exhausting ones and the ones where you quietly lose clients.
The good news is that most of December's chaos can be prevented by a handful of decisions made in October. Below you will find, step by step, how to calculate your real capacity, lock in staff leave, protect peak hours with deposits and get stock and cash ready in time.
Start from last year's numbers, not from a hunch
Good planning starts with records, not memory. Go back to last November and December and answer a few questions:
- Which days and hours were fully booked, and which were surprisingly quiet?
- Which services were in highest demand: colour, blow-dries, updos, make-up, nails, facials?
- How many clients did you turn away, or lose to another salon, because there was no slot?
- Which clients come back every year-end without fail?
The visit history on your client cards answers most of these. In sysSalon, every client's past appointments, services and notes sit on a single card, so "who came in last December?" takes seconds rather than an afternoon with the appointment book. If you only started keeping records this year, that is fine: recording this December properly gives you next year's plan for free.
Put a number on your capacity
"It's going to be busy" is not a plan. Work out how many hours of service your salon can actually deliver. For example, if four stylists each work ten hours on a Saturday, you have 40 staff-hours. Take out breaks and turnaround time between clients and a realistic figure is closer to 32–34 hours.
Now compare that with demand. If a single balayage takes three hours, just four balayages on one Saturday consume around a third of your capacity on their own. Capping long services on peak days, or steering them to weekdays, is one of the most important calls you will make.
Then put a price on an empty hour. Say your average service is worth €60: if each of December's four Saturdays loses just five hours to gaps or poor scheduling, that is 4 × 5 × €60 = €1,200 of revenue gone. That figure alone shows why a few hours of planning are worth it.
In sysSalon's calendar you can switch between day, week and room views to see exactly which chair or treatment room sits empty and when. Clash prevention by staff member and by room means two bookings can't land on the same chair on your busiest day.
Lock in time off and opening hours now
The most overlooked part of holiday planning is the team. One unexpected day off in December means redistributing or cancelling every appointment that person had. To avoid that:
- Announce blackout dates clearly. Tell the team in October that, for example, no leave can be taken from 15 to 31 December, and steer holidays towards early November or mid-January.
- Agree extended hours together. Opening an hour earlier and closing an hour later in the final two weeks gives you eight extra staff-hours a day with four people.
- Be clear about how extra hours are rewarded. Agreeing in advance how commission rates apply during the rush saves an argument in January.
- Map who can do what. If only two people do bridal hair and updos, set the number of those bookings accordingly.
When you update branch opening hours in sysSalon, the calendar suggests available slots based on the new hours. Salary and commission rates stored on staff profiles also give everyone the same reference point when it is time to settle up.
Protect your peak hours with deposits
December's most valuable hours are exactly where a last-minute cancellation hurts most. If an updo booked for the afternoon of 31 December doesn't show, your chances of filling that slot are close to zero.
Set a separate, written deposit policy for the holiday period. You might, for instance, take part of the price upfront for Friday and Saturday appointments between 20 and 31 December and for any service longer than two hours. The clearer the rule, the easier it is to explain to clients.
Tip: Before you open your holiday diary to everyone, contact your loyal clients yourself in the first week of November. Giving them first pick strengthens loyalty and secures your most valuable slots early.
In sysSalon, a deposit is linked directly to the appointment, so when the client arrives the balance is already clear and the till matches the diary. The VIP status and visit history on each client card also make it obvious who should get that first call.
Holiday booking checklist
- Have you set a daily cap for long services on peak days?
- Are the dates and services that require a deposit written down?
- For clients booking several services (hair, make-up, nails), are those split across different team members within one appointment?
- For multi-session work such as bridal or engagement looks, are trial dates already in the calendar?
Stock and cash: December's bill is paid in October
One of the most common mid-rush problems is running out of the product you use most. Suppliers slow down at year-end too, so an order placed in mid-December may arrive late. Use last year's usage to order colour, developer, lightener, hairspray and disposables at the start of November.
Buying in bulk ties up cash early, so plan cash flow alongside it. Line up your November outgoings against the payments and deposits you expect in December. Once you link the products used to each service, sysSalon deducts them from stock with every service; together with supplier accounts and purchase records you can see what is left and what you owe in one place. Low-stock alerts are coming soon; until then, a short weekly stock check does the job.
Start today and turn the rush into profit
A busy December does not become a profitable one on its own. It does for the salon that reads last year's data, knows its capacity in hours, agrees time off early, protects peak slots with deposits and has its shelves stocked in time. October is the last month you can make those decisions calmly.
